We are looking for a skilled Commercial Project Coordinator to manage the tender/bid process, coordinate stakeholders, and oversee project execution. Responsibilities:- Serve as the primary gatekeeper for the tender/bid management process, including evaluation of leads and opportunities (public and private sectors), validation, verification, bid composition, request for approval, public submission, and progress tracking of awarded tenders/bids
- Monitor e-Procurement platforms for tender/bid availability (RFI/RFQ/RFP) and promptly inform relevant stakeholders to initiate validation
- Ensure timely tracking of tender/bid deadlines, coordinating with stakeholders to ensure punctual submissions and adherence to all compliance standards
- Maintain an up-to-date library of company credentials, certifications, and other documentation essential to the tender/bid process, ensuring that all materials are accurate and readily accessible
- Coordinate the collection of technical solution design information from relevant stakeholders (certified engineers, infrastructure teams, core network and digital departments, external partners, etc.)
- Facilitate information validation where necessary to ensure accuracy and relevance to each specific bid or project requirement
- Oversee the development and preparation of the financial costing model, including suggested pricing, margins, and other financial metrics. Present the final model for approval while ensuring alignment with business objectives and pricing guidelines
- Where required, assist in reviewing the financial viability of projects to support strategic decision-making
- Assist in the selection and engagement of partners, determining whether they will participate as primary or secondary collaborators in the bid process. Maintain clear communication channels with chosen partners
- Provide regular updates on the progress of awarded tenders/bids, including feedback and necessary follow-ups to all relevant stakeholders
- Develop and maintain progress reports that capture project status, upcoming milestones, and any potential risks, sharing these insights with both the Commercial Project Manager and involved stakeholders
- Evaluate and prepare responses to ad hoc requests that arise from won tenders/bids. Coordinate these within the company’s delegation of authority for approval
- Facilitate effective communication between all project stakeholders, ensuring the project plan, timelines, and expectations are well understood and documented
- Collaborate with stakeholders to ensure smooth execution and project adherence to timelines
- Develop detailed project plans using effective project management tools and practices. Plans should encompass objective scoping, task decomposition, task dependencies, timelines, risk identification, and an established communication and escalation plan
- Maintain a project risk log, identifying potential issues and escalating high-priority risks to the Commercial Project Manager for timely resolution
- Assist in developing project plans for complex service deliveries and solutions in collaboration with the Solutions Delivery team, supporting efficient execution of each deliverable
- Report directly to the Commercial Project Manager on all aspects of tender management, project planning, and bid coordination to ensure accountability and alignment with company goals
- BA/BS degree in Business or Technology
- 2+ years of experience in a project management role or bid/deal management role
- Professional proficiency with MS Office package (Excel/Word/PowerPoint) and MS Projects to be considered an advantage
- Strong use of both Greek and English, both spoken and written
- PMP or Prince 2 certificate will be considered as an advantage
- Excellent organizational skills with the ability to manage multiple priorities effectively
